Example (fictional data)

A café in Galway with six part-time staff pays weekly. The owner used to key each week's figures into the Revenue online service by hand, or paid a bureau a monthly fee to do it. Now she enters each person's hours on Friday morning, PayDay IE fetches the current tax details from Revenue, calculates net pay and employer PRSI, emails payslips and sends the payroll submission before the staff are paid.

How it works

Every employer in Ireland reports pay to Revenue in real time. On or before each pay date, the employer must use the employee's latest tax details from Revenue, deduct PAYE, USC and employee PRSI, add employer PRSI, and send a payroll submission. For a small team this happens every week or every month, all year.

Small employers usually either do it by hand in the Revenue online service, keep a spreadsheet, or pay a bureau. Answers to common questions are in the questions and answers, and you can register your business at the bottom of this page.

In PayDay IE you add each employee once: name, PPSN, start date, pay frequency, hourly rate or salary. Before every pay run, PayDay IE requests the employee's current tax credits, rate band and USC details from Revenue, so a change made by the employee in their own Revenue account is picked up automatically.

Each pay period you enter hours, overtime, bonuses or unpaid leave. PayDay IE calculates gross pay, PAYE, USC, employee PRSI and employer PRSI, and shows net pay for each person and the total employer cost. Benefit in kind, pension deductions and sick pay can be added as separate lines.

When the figures are right, PayDay IE sends the payroll submission to Revenue and keeps Revenue's acknowledgement with the pay run. Payslips are emailed to staff and kept for every period, so anyone can ask for a copy months later.

New starters and leavers are handled in the same flow: a new employee is registered with Revenue in the first submission, and a leaver's final pay closes their employment. At the end of the month you see what Revenue will expect to collect in the monthly statement.

Most payroll mistakes in small businesses come from using old tax credits, missing a submission when the pay date moves, and forgetting a starter or leaver. Fetching details from Revenue before each run and submitting with every pay run removes most of these.

PayDay IE is built for employers with one to nine staff: cafés, shops, hairdressers, trades, small offices and childcare. It works in the browser with no installation. If you have an accountant, they can be given access to review the figures.

All pay runs, payslips and Revenue acknowledgements stay stored by tax year, which helps with year-end checks and with any Revenue query later.

To begin, add one employee and run one pay period.

PayDay IE calculates pay and sends submissions; responsibility for payroll and for paying staff and Revenue stays with the employer.
